Rental Exchange Program Policies

FACILITIES

Space/Theater: 1350 – ft2 (25’ wide x 30’ deep) studio-theater with 15 ft ceilings. Fully sprung hardwood floor, option of marley floor, option of black curtains, aerial riggable. Two ADA bathrooms, Dressing room/Green room, Lobby, TV/VCR and Kitchen. Fire hallway is available for moving bodies only and can not be used to store anything. The front offices and the tech loft are off-limits.

Props/Costumes: Props/Costumes may be stored underneath the risers with prior permission one week before and after event. Large props/set will be accommodated at the discretion of the CounterPULSE staff. Props should be labeled with your name and event date whenever possible. Props/costumes unclaimed one week after event will be discarded.

Technical Equipment: CounterPULSE has a 24/48 ETC Express Board, 24 dimmers, full range sounds system, 16 channel Yamaha Sound Board, 2 vocal microphones, 2 main speakers, 1 projector, 1 projector screen. For detailed tech spec list, please check the website.

Audience Seating: CounterPULSE has a legal capacity of 90 people. Standard seating accommodates 70 seats. Expanded seating accommodates up to 90, and decreases the stage space by about 2 feet. Pillows are available for floor seating. Please specify in advance which seating arrangement you want.

Flooring: NO Shoes are allowed on the theater floor. At any event where shoes are worn, you are responsible for covering the floor with the marley supplied by CounterPULSE. Please schedule enough time to lay the marley before the show and put it away afterwards.

Accessibility: We are an ADA-accessible theater. Wheelchair ramps must be accessible at all times. The backstage areas must be kept clear before/after the show and during intermission to allow access to restrooms.

STAFF

CounterPULSE Provides:

House Manager: House Manager works directly with ushers and volunteers to set up the audience seating, lobby, and concessions, and to facilitate post-show clean up. House Managers are not responsible for any additional front of house set-up including merchandise sales. There is $40 non-negotiable per night fee taken directly from your box office and paid to the House Manager.

Box Office Staff: One volunteer CounterPULSE staff person will collect money and issue tickets for the event.

You Provide:

Technical Personnel: You are required to hire at least ONE technician from the CounterPULSE in-house tech staff. CounterPULSE will provide a list of technicians for you to contact directly. Please inform CounterPULSE who you have hired TWO months prior to the event.

Stage Manager: Though it is not required, CounterPULSE strongly encourages you to hire a Stage Manager.

Two Usher/Volunteers: You are required to provide at least TWO volunteers for each event who will work directly with the CounterPULSE staff. In the event that you do not provide two volunteers, $25 per missing volunteer will be deducted from the cleaning deposit. Volunteers should arrive no later than 1.5 hours prior to event.

PUBLICITY

CounterPULSE is responsible for:

Calendar/Website/Email: Your event will be included in CounterPULSE’s printed calendar, on its website, and in its monthly email announcement, so long as sufficient information is provided by the appropriate deadline. Please see separate guidelines for submitting images and text.

Mailing List: You may arrange to use CounterPULSE’s bulk mail permit, mailing list and press list for an additional fee of $25. This request must be made at least two months prior to the event.

You are responsible for:

Publicity: All additional event publicity, including flyers, press releases, etc.

CounterPULSE Logo: All publicity must include the CounterPULSE logo.

CounterPULSE Review: All publicity must be approved by CounterPULSE before it goes out.

BOX OFFICE SERVICES

Box Office Income Procedure: CounterPULSE will track and process all box office income generated at your event. CounterPULSE will issue you a check for total box office income within one week following event, upon receipt of your rental payment in full.

Box Office Options:

1. Reservation Line: CounterPULSE will take reservations for performances/events up to one month prior to your event. The reservation line is 415-435-7552 and should be included on all promotional materials. CounterPULSE does not take reservations for classes or workshops.

2. Web-based Pre-sales: If you decide to do any web-based pre-sales, CounterPULSE will not offer Reservation Line services and you will be responsible for providing the House Manager with a list of will-call tickets 2 hours prior to the start of the event. If you are doing any kind of pre-sales, you must issue a check payable to CounterPULSE in the total amount received in pre-sales. You are responsible for making sure your event does not oversell.

Nota Policy: CounterPULSE has a policy of “No one turned away for lack of funds.”
This policy supports our mission as a community-based venue.

Comp Policy: CounterPULSE reserves the right to offer free admission to all events at CounterPULSE for up to five CounterPULSE staff and volunteers.

FRONT OF HOUSE POLICIES

CounterPULSE Welcome: The CounterPULSE House Manager will make a brief pre-show announcement. CounterPULSE reserves the right to display promotional materials, including a mailing list and flyers at all rental events. Event volunteers may be asked to place flyers on seats.

Concessions: CounterPULSE sells concessions (beer, wine, water, soda) as part of your event. If you choose not to take advantage of this service, please let CounterPULSE know two weeks prior to the event. You may sell your own concessions with prior approval, however you are not allowed to sell alcohol.

Reception/Party: With prior approval, you are welcome to have a reception or party after your event. CounterPULSE must be notified two weeks in advance. Use of the space past midnight is an additional $15/hr, and must be approved by CounterPULSE.
Security: For security reasons, the front and side doors can not be left open unless they are being closely monitored. There is one warning, then the next time it happens there is a $50 fine for leaving the door unlocked and unmonitored.

CONTRACT PROCEDURE

At the signing of this contract you are responsible for providing CounterPULSE with a check for a deposit for your event (half the total amount due, including the insurance fee), plus a $100 cleaning deposit. You are responsible for communicating all policies and agreements in this contract to your Production Staff and Collaborators. You are also required to attend a Production Meeting 2 weeks prior to the event and a follow-up meeting 1 weeks after the event.
